Guidelines for a secure Webex Classroom

These are standard steps that DJUSD has put in place for a secure classroom environment with Webex Meetings.

Viewing Your Session's Attendance

  • Access the Webex Dashboard at https://djusd.webex.com

  • Select "Insights" on the left navigation panel and then select "View more" at the top right

  • Under "All Services" select "Usage Report"

  • Enter the your meeting name in "Topics" and select display report

    • You can narrow the search by also selecting the appropriate dates

  • Select your meeting to view all the participants

Classroom Meeting Template

You can use the "Meeting template" title: "Classroom Template" by scheduling a Webex meeting from https://djusd.webex.com, the Webex Outlook Plug, or from Google Calendar.

With the Classroom Template...

    • The attendee CANNOT...

        • view, save or print a file or document (use Google Classroom).

        • annotate (turn this on if you are using a whiteboard).

        • view the participant list.

        • request to control your shared content.

        • private chat with other attendees.

    • The attendee CAN...

        • private chat with the "Host" or "Presenter".

        • turn on/off their microphone or video.


Steps YOU need to take to secure your digital classroom

  1. From https://djusd.webex.com login and select "Preferences" on the left panel

  2. Then select the last tab "Recording"

  3. Finally, select the bubble labeled "Content-only view"

      • When you record your Webex session it will only record your content and not your student's web cameras

  4. Make sure to select save to save your setting

Information on Webex Privileges:

Each large (30+) Webex sessions should have at least two moderators; The Host and The Presenter.

The Host can...

  • Schedule and start an event

  • Start and end a practice session among the panelists

  • Invite attendees to a scheduled event

  • Invite attendees to an event in progress

  • Grant privileges to attendees or panelists during an event

  • Start an Internet phone conference

  • Designate a presenter

  • Assign the host role to another panelist, and reclaim the host role

  • Answer attendees' questions during a question-and-answer (Q & A) session

  • Restrict access to an event

  • Specify or edit a greeting or message for attendees during an event

  • Act as poll coordinator to start a poll

  • Pass the poll coordinator role to another panelist

  • Record an event

  • End an event

The Presenter can...

  • View and share Documents, presentations, and whiteboards

  • Save documents, presentations, and whiteboards in the content viewer

  • Share applications, Web browsers, and screens/desktops

  • Share multimedia Web content

  • Take a poll if the host passes the poll coordinator role to the presenter

  • Save a poll questionnaire and poll results to a file

  • Answer attendees' questions during a question-and-answer (Q & A) session

  • Send text responses to attendees' questions on the Q & A tab

  • Participate in a practice session

  • Participate in a chat

  • Save chat messages to a file

  • Save a Q & A session to a file

The Attendees can...

  • View shared documents, presentations, and whiteboards in the content viewer

  • View shared applications, Web browsers, and screens/desktops

  • View shared multimedia Web content

  • Participate in a poll

  • Participate in a chat

  • Save chat messages to a file

  • Download files that the presenter publishes

  • View live video that the presenter sends
