Protect Your Collaboration Room From Intruders

Security from “intruders” during a Webex Meeting just got easier. The Distance Learning Support Team and the Instructional Technology Department have been working together to find the most efficient and secure ways to protect our staff and students from outsiders.

New Security Features and Options

We have enabled outside DJUSD access to your Webex Personal Room. You will also notice in some places the name was changed from "Webex Personal Room" to "Webex Collaboration Room". The new features below create better management options for you in your virtual classroom.

Managing Your Virtual Classroom With Lobbies

Attendees who are not a DJUSD staff member will be sent to your Collaboration Room's Lobby. If a student needs to be sent out of your virtual class, you have the ability to select them in the "Participants" tab and select "Move to Lobby". This moves the attendee back to the lobby indefinitely until they have had a long enough break. We won’t use breakout rooms as Webex breakout rooms are not supported for Chromebooks, which excludes many students.

No more scheduling

We heard you when you said scheduling your classroom was cumbersome. With this update you no longer need to schedule your session. You will simply paste your permanent and unique Collaboration Room URL to Google Classroom, email, or calendar event.

Collaboration Room Link

Your personal room link starts with https://djusd.webex.com/join and ends with /firstinitial+lastname (Example: https://djusd.webex.com/join/jsmith).

You can view your link on the Webex home page at https://djusd.webex.com.

Automatically Locking Your Room

We added another security feature to help protect your virtual classroom. When you start your Collaboration Room, the meeting will automatically lock for you. Similar to the lobby feature, a locked room means no user can enter the meeting without your permission, including DJUSD staff. If you don't want your meeting locked you can always unlock it when you start the meeting, or change the default setting in your Webex preferences.

Right click an attendee in the "Participants" tab and select "Move to Lobby" to move them out of the class temporarily.

Select "Expel" to remove them from the session.

Adding an Alternative Host

Adding an alternative host to your meeting can be a great way to have someone like, like a paraeducator or student teacher, manage the class while you teach. More information on adding an alternative host can be found on Webex's support page.

Admit an Attendee from the Lobby

  • To admit an attendee to your lobby select the "Admit" button that appears next to their name

  • If there are more than one select all, or those you want to bring in, and select "Admit"

Expel an Attendee from the Lobby

  • To expel a student from the lobby select their name in the "Participants" tab

  • At the top select "Participant" and then "Expel" or "Move to Lobby"


Locking and Unlocking Your Session

  • To lock your meeting select "Meeting" and then "Lock" or "Unlock"

  • DJUSD has enabled auto lock at the start of all meetings
